Trader Terms & Guidelines

Firstly, thank you for choosing to trade with Gander.

We're genuinely delighted you've chosen to be part of one of our events.

Everything we do is centred around creating memorable events that celebrate independent businesses, support talented makers and provide visitors with a brilliant experience.

These guidelines simply help ensure every event runs safely, fairly and smoothly for everyone involved.

Booking Your Space

Your trader space is only confirmed once full payment has been received.

Unfortunately we cannot hold spaces without payment.

If payment isn't received by the agreed deadline, we reserve the right to offer your space to another applicant.

All bookings are non-transferable unless agreed in writing by Gander.

Trader Cancellations

Trader bookings are non-refundable.

If you're no longer able to attend, please let us know as soon as possible.

Where possible, we may be able to transfer your booking to another trader or future event, however this cannot be guaranteed and remains entirely at Gander's discretion.

If We Have To Cancel

We sincerely hope this never happens.

If an event needs to be postponed or cancelled due to circumstances beyond our reasonable control, including severe weather, venue issues, government restrictions or emergencies, we'll contact all traders as soon as possible.

Refunds or transfers will be considered at Gander's discretion, taking into account any non-recoverable costs already incurred.

Insurance & Required Documentation

Every trader must hold Public Liability Insurance with a minimum cover of £5 million.

Proof of insurance must be supplied if requested.

Failure to provide valid insurance may result in your booking being cancelled without refund.

Food & Drink Traders

Food traders must also be able to provide:

  • Food Business Registration
  • Current Food Hygiene Rating (where applicable)
  • HACCP or Safer Food Better Business documentation
  • Risk Assessment
  • Public Liability Insurance (£5 million minimum)
  • PAT Testing certificates (where applicable)
  • Gas Safety Certificate (where applicable)
  • Allergen information and management procedures

Food traders are responsible for complying with all current food safety legislation.

Failure to provide the required documentation when requested may result in your booking being cancelled without refund.

Products

We carefully curate every Gander event.

Products should reflect the information provided in your application.

The following are not permitted:

  • Mass-produced reseller products
  • Temu, Shein or similar products
  • AI-generated artwork or prints
  • Counterfeit goods
  • Products that infringe copyright or trademarks

If you're unsure whether a product is suitable, please ask before the event.

Product Responsibility

You are responsible for ensuring:

  • Your products comply with UK law.
  • You own the rights to everything you sell.
  • Your products are accurately described.
  • You hold any licences required to sell them.

Stall Presentation

We ask every trader to present their stall professionally.

Please ensure your display includes:

  • Clear pricing
  • Appropriate branding
  • Safe displays
  • A tidy appearance

Interactive displays are always encouraged.

If your stall differs significantly from the images supplied during your application, we may ask you to make reasonable improvements before trading begins.

Arrival & Set Up

Arrival times will be sent before the event.

Please arrive during your allocated arrival window.

Late arrivals may not be admitted if they compromise the safe running of the event.

All traders must be fully set up before opening.

During The Event

Please remain open for the advertised trading hours.

Early pack downs are not permitted unless agreed with the Gander team.

Please help create a welcoming atmosphere for visitors throughout the day.

Behaviour

We expect everyone at Gander events to treat visitors, fellow traders, volunteers, venue staff and the Gander team with kindness and respect.

Abusive, threatening or discriminatory behaviour will not be tolerated.

Gander reserves the right to remove traders whose behaviour negatively impacts the event.

Internet & Power

Wi-Fi, mobile signal and electricity cannot be guaranteed at every venue.

If your business relies on internet access, please ensure you have an alternative available.

Power must be requested before the event and cannot always be provided.

Loss, Damage & Theft

Gander cannot accept responsibility for:

  • Lost stock
  • Damaged stock
  • Theft
  • Personal belongings
  • Vehicles

Please ensure you have appropriate insurance.

Venue Care

Please help us leave every venue exactly as we found it.

You are responsible for:

  • Removing your rubbish
  • Leaving your space clean
  • Avoiding damage to walls, floors or equipment

Any damage caused may be charged to the trader responsible.

Photography

Photographs and video may be taken throughout the event.

By attending, you give Gander permission to use this content for future marketing, website content, social media and promotional material.

Where possible we'll always credit your business.

Marketing

We'll always do our best to promote every event.

However, we cannot guarantee visitor numbers, sales or individual trader success.

Event Layout

Pitch locations are allocated by Gander.

Whilst we consider product categories, accessibility and visitor flow, final positioning remains at our discretion.

Right To Refuse Entry

Gander reserves the right to refuse entry or remove any trader without refund where:

  • Required documentation is not provided.
  • Products differ significantly from the approved application.
  • Prohibited products are sold.
  • These Terms & Guidelines are breached.
  • Behaviour is deemed unsafe, abusive or damaging to the event.

Any decision made by Gander under this clause is final.

Changes To These Terms

From time to time these Terms & Guidelines may need updating.

The latest version will always be shared with confirmed traders before each event.
